Editing an Item in Minds@UW Stout

First, go to Minds@UW Stout. Minds@UW Stout’s front page shows you a list of communities. Select the community that holds the items you are tasked with editing.

You can get there the following ways:

  • The direct link: https://minds.wisconsin.edu/handle/1793/8343
  • Search for Minds@UW Stout in Google
  • Go to minds.wisconsin.edu and select Minds@UW Stout from the list of Universities of Wisconsin schools

Note on Terminology: Communities is the term for the highest-level grouping. Each community can have sub-communities and collections. Communities and sub-communities hold collections. Collections hold items. Items hold metadata and bitstreams.


Once you select the correct community, you will get a list of collections. You will need to then select the collection that holds the items you are tasked with editing.

Once in the collection, you will then select the items that you are tasked with editing. You can search through the collection using keywords or sort by year to find the correct item(s).

Once you select the item, you will see the general/basic view of the item. This shows basic metadata or description as well as the files attached to the item.

To edit the item, select ‘Edit this item’ on the right-hand task list. It is toward the bottom, so you will need to scroll down to see it.

Note: If your screen is not showing the task list on the right-hand side, select the icon of three lines in the top right corner of the screen. This will show the task list.



‘Edit Item’ will allow you to item the metadata and bitstreams of the item.
Note on Terminology: Metadata refers to the description of the item (i.e. abstract, author, date, etc.). Bitstreams are the files attached to the item (i.e. pdf, thumbnail, image, video, etc.).

Edit Metadata


On the tabs, select ‘Item Metadata’ to edit the description of the item. You can edit the fields already added to the item by editing the texts in the box next to the metadata field. For example, dc.contributor.author was already added to the item. To change the author, I would edit the McNaughton, David text box.Once you complete your edits, select ‘Update.’ No edit will be saved automatically. ‘Update’ is the only way to ensure your edits are saved.To add metadata fields, search for the field in the drop-down menus title ‘Name:’. Once you select the correct one, enter the description into the ‘Value:’ textbox. For example, to add dc.contributor.advisor, I would enter Stecklein, Heather into the textbox.Once you enter in the value, select ‘Add new metadata’. It will then be added to the list of metadata fields. Then select, ‘Update’ to make all edits official. It is not added to the record officially until ‘Update’ is selected.


Edit Bitstreams

To edit a bitstream, select the tab ‘Item Bitstreams’. From here, you can delete a bitstream or file by selecting the box next to the file name. Once the files you want to delete are all selected, select ‘Delete bitstreams’.Note: Look at the file format to confirm which file you are editing or deleting. If I want to change the pdf file, for example, I will need to delete the file with the format Adobe PDF. It can be confusing when files have similar names.To add a new bitstream, select the text link ‘Upload a new bitstream’.

There are two types of bundles when adding a new bitstream. You will select content files for everything except if you are adding an image for the thumbnail. Then, you would change the ‘Bundle:’ to thumbnail.‘Choose file’ will allow you to upload the new file. Description will allow you to change the file name of the file, if it is not in the correct file naming convention. Please only do this if there are restrictions. For most cases, please make sure the file has the correct file name prior to uploading. If this is the case, you will not need to add a description.You will only need to select an embargo if directed by the archivist.Select ‘Upload’ to officially add the new file to the record.Note: There is not an ‘Update’ button on bitstreams. Once you select Delete or Upload, it becomes official.

The ‘Return’ button will always take you back to the item. This is useful if you want to see what the changes you made look like on the file. This is the quickest and easiest way to view the file after edits.
